Admissions Associate

Reports to: The Director of Admissions 

Job Classification: Full Time, Non-Exempt, Hourly Position 

Main Function: 

The responsibility of the Admissions Associate is to assist the Admissions Office with all aspects of the Admissions process. 

Essential Job Functions: 

  1. Travel (at least 80 hours per month) to promote the school. Primarily in the Northeast but will include nationwide and international destinations. This also includes visits to events/conferences, professional organizations, advocates, educational consultants and special education attorneys who work closely with our students and families. 

  2. Assist the admissions staff with management of the prospective student’s admissions process for middle school, high school, transition, and summer programs.

    • Initial phone contact and documentation into Veracross 

    • Admissions correspondence (follow-up correspondence regarding the next step, etc.) 

    • Review of records, including neuropsychological and related school reports 

    • Follow-up correspondence and phone calls with professionals, psychologists, consultants, and families 

    • Interview and tour with student/families 

    • Coordinate visits for prospective students 

    • When on campus attend the admissions committee meetings 

    • Regularly update referring professionals 

    • Meet with staff to provide smooth transition for selected students 

    • Update profiles and assist with class placement if needed for visiting students 

    • Learn and use the admissions database for prospective/re-enrolled student documentation 

    • Cull files of accepted students with admissions staff 

    • Cull files of alumni students, as needed with admissions office manager. 

  3. Assist with marketing the school and developing relationships with referral sources. 

  4. Help to coordinate and run school tours and information sessions for prospective students, families, educational consultants, etc. 

  5. Assist with Opening Weekends to greet new students and families (summer and fall programs) 

  6. Understand website, marketing materials, and recruitment efforts and offer suggestions or changes. 

  7. All other duties as assigned. 

Candidate Requirements: 

  1. Bachelor of Science or Bachelor of Arts degree and wide-ranging experience in the field of admissions and or Special Education. 

  2. Demonstrates strong interpersonal, sales, communication, technology and writing skills. 

  3. The ability to research targeted marketing opportunities within identified geographies. 

  4. Must passionately, confidently, and clearly express all that Riverview makes possible for students. 

  5. Exhibits comfort and competence with public speaking/presenting the school and its programs. 

  6. The ability to form and foster close relationships with referring professionals. 

  7. Travel plays an integral role in this position. Ideal candidate will undertake frequent travel primarily in the Northeast region but will include nationwide and international destinations, including multi -day or weekly overnight marketing trips. 

  8. Demonstrates a clear understanding of learning disabilities and willingness to learn the integrated curriculum, and middle, secondary, and transition programs offered at Riverview School. 

  9. Experience working in an admissions office or have a certification in Moderate Special Needs / experience working with adolescents with learning disabilities is preferred. 

  10. Participate in orientation training weeks prior to the opening of school, in addition to the weekly in-service training program throughout the school year (minimum of 24 hours of in-service training). 

  11. Demonstrate the ability to learn, understand and implement Riverview’s philosophy, goals and related policies and procedures. 

  12. All admissions associates must exercise efficiently and effectively:

Development Assistant


Associate Director of Advancement

Main Function:

Within the department of Advancement, this position will implement processes for efficient workflow in the Advancement Office. The primary function of this position will be development gift processing and data management. This person will communicate regularly with key offices at Riverview, most importantly the Business Office and Head of School. This position requires frequent interactions with parents and alumni to help cultivate strong relationships and engagement with the school.

4 Manadatory weekends a year are require reflective of the School Calendar events (Opening Weekend (September), Fall Family Weekend (October), Transition Weekend (March), Graduation Weekend (June).

Essential Job Functions:

  • Conduct data entry of student, family and alumni records in the database including address updates and annual appeals coding.

  • Produce call sheets, appeals and gift reports for Annual Appeal

  • Process all gifts in a timely manner, including consistent recording of gifts in the database.

  • Produce and send donor acknowledgment letters within 5 business days of receipt.

  • Maintain backup information for Annual Fund, Endowment, Stocks and Matching Gifts

  • Reconcile receipts quarterly with the Business Office.

  • Produce Annual Fund and Endowment Pledge Reminder letters as necessary.

  • Produce weekly gift reports (to the Business Office/Accounts Receivables) and mailing lists (both emails and physical addresses) as needed from the database.

  • Remain current on trends in the field and make recommendations for updates and enhancements to database to ensure consistency with best practices.

  • Manage materials & supplies for office.

  • Ability to work independently and as part of a team.

  • Other duties as assigned.

Additional Responsibilities include:

  • Advancement Office Support (Opening Weekend, Fall Family Weekend, Transition Weekend, Gala, Summer Program Opening Weekend).) 

  • Majority of event support is for annual gala (entry of gifts and auction items, sponsorships, meals and tables, payments, and packaging)

  • Engaging and networking with parents and donors

Job Classification: Non-exempt

0.6 PTE – 24 hours / Year round with increase of hours during busier times of year (Nov/Dec & May/June).  This position is in-person on our Riverview School Campus.

Candidate Skills Required:

  • Strong database proficiency, with ability to analyze and problem-solve data management and communications systems issues.

  • Strong interpersonal skills with emphasis on verbal and written communications

  • Ability to interact professionally and effectively with a wide variety of people and develop relationships with parents, alumni and donors for successful cultivation and engagement of volunteer and philanthropic support.

  • Proficiency in Microsoft Office (with strength in Excel)

  • Proficiency in donor databases: Database Software (Veracross) & Greater Giving (or similar programs)

  • An ideal candidate for this position will be detail oriented, exhibit an ability to multi-task several projects at once, be able to work both autonomously and within a team environment, take initiative and be self-motivated.

Special Events Associate

REPORTS TO: Associate Director of Advancement

Job Classification: Non-exempt

40hr/ Full Time, Year-round with increase of hours during events. This position is in-person on our Riverview School Campus.

Working within the department of Advancement, the Special Events Associate is responsible for the planning and execution of a variety of events ranging in scope and scale. This person will collaborate with the Advancement team and various other departments in the school to ensure that all events align with the school’s strategic objectives, as it relates to fundraising and stewardship of parents, students, and alumni. Events range from small single day campus events to Riverview’s Annual Village of Dreams Gala, a major fundraising event for the school. This position is a 5 day (40hr) full-time position. Weekend and evening work required during events.


  • Work with the Associate Director of Advancement to ensure that the strategic objectives of the school are met, and a consistent tone is reflected in all efforts.

  • Help to create and maintain an annual events Calendar and assess additional event opportunities as they are presented.

  • Organize, update and maintain event files throughout the year.

  • Conduct periodic analysis of events and recommend changes to ensure alignment with strategic objectives.

  • Support departmental needs including event logistics, timelines, budgets, communication with venues, vendors, staff and the negotiation of contracts.

  • Fully utilize technology to automate essential elements of planning, tracking and production.

  • Development of forward-facing communications promoting events.

  • Creation of collateral, including invitations and programs.

  • Recruit and manage volunteers to deepen community engagement.

  • All other duties as assigned.

Specific Duties

  • Work in collaboration with the office of Advancement to plan and execute all facets of Riverview’s annual fundraising gala and expand opportunities for revenue growth.

  • Manage volunteer Gala committee.

  • Coordinate and manage logistics for parent weekends, including Opening Weekend, Fall Family Weekend, Transition Weekend and Alumni Weekend.

  • Help to support Family Association efforts to further strengthen relationships with families.

  • Coordinate with other departments to execute additional school-wide events including but not limited to: Cultural Diversity Day, Staff Appreciation Events, Regional Parent Receptions and Board Receptions.

  • Work with the Advancement team to shape periodic cultivation events for parents.

Skills Required

  • Demonstrated strategic and tactical experience in event planning, logistics, execution, and volunteer engagement.

  • Creativity, flexibility, and the ability to manage multiple priorities and deadlines while maintaining strong attention to detail.

  • Ability to work independently and collaboratively with volunteers, faculty, staff, and vendors.

  • Self-motivated, able to identify opportunities for improvement within existing structures.

  • Highly organized and the ability to present plans clearly and efficiently.

  • Strong oral, written and technology skills.

  • Strong office skills: organization, time management/scheduling, computer literacy, effective communication, interpersonal, problem solving, ability to multi task.

  • Experience with development and fundraising software preferred.

  • 2-3 years event experience. Fundraising event experience preferred.

  • Bachelor’s degree preferred.

  • Ability to lift up to 30lbs

General Performance Responsibilities:

  • Perform emergency repairs to RVS buildings and equipment to maintain a safe environment for staff and students.

  • Perform preventative maintenance.

  • Keep Supervisor informed of the progress of the work and any significant developments as they occur.

  • Keep all work areas free and clear of debris.

  • Perform miscellaneous related duties as required by the Director of Facilities.
